1. Introduction

This Privacy Policy describes how ArhivaDeFacturi (the "Application") collects, uses, stores, and protects the personal information of its users. We are committed to protecting your personal data by implementing strict technical and organizational security measures, including data encryption and storage across multiple secure physical locations.

This Privacy Policy applies to both the ArhivaDeFacturi web platform and the official ArhivaDeFacturi mobile application available for Android and iOS devices.

Unless otherwise stated, references to the "Application" or the "Service" include both the web-based platform and the mobile application.

By using the Application, you acknowledge that your personal data will be processed in accordance with this Privacy Policy.

2. Roles and Responsibilities Regarding Data Protection

When using the ArhivaDeFacturi application, the data controller is the legal entity that creates an account on the platform and uses the application for accounting, financial management, and tax compliance purposes.

The data processed through the Application, including information obtained from the Romanian National Agency for Fiscal Administration (ANAF) Virtual Private Space (SPV), are processed at the initiative and in the interest of the user, based on the user's legal obligations and contractual relationships.

The Application provider does not determine the purposes for which personal data are processed and does not use customer data for its own purposes. The purposes of processing are determined exclusively by the user.

Where the user grants access to the Application to an accounting firm or any other third party, such parties act under a separate contractual relationship with the user. Responsibilities regarding the protection of personal data between the user and such third parties are established exclusively between those parties.

The Application provider is not a party to the contractual relationship between the user and its service providers and assumes no responsibility for any processing activities carried out by those third parties outside the Application.

3. Information We Collect

3.1. Information Provided by Users

Contact Information:

  • Full name
  • Email address
  • Telephone number
  • Other identification information required to create and manage a user account

Invoice Information:

Invoice data and financial documents imported automatically from the ANAF Virtual Private Space (SPV).

3.2. Information Collected Automatically

Access Information The Application automatically collects certain technical information, including: - Login information - IP address - Device type - Browser type - Website analytics data used to improve the user experience

3.3 Mobile Application Permissions

Depending on the functionality used, the ArhivaDeFacturi mobile application may request permission to access certain features of your device.

These permissions are requested only when necessary to provide the requested functionality.

Depending on your device and operating system version, the Application may request access to:

  • Internet connection (required for synchronization with the platform);
  • Push notifications;
  • Camera (for capturing business documents, where available);
  • Photos and Files (for uploading business documents);
  • Other permissions strictly required to provide the functionality explicitly requested by the user.

You may revoke these permissions at any time through your device settings. Some features of the Application may no longer function correctly if the required permissions are denied.

Cookies ArhivaDeFacturi uses cookies and similar technologies to collect information about user browsing activity. Cookies can be managed through the browser settings.

4. Purposes of Data Collection

We process personal data for the following purposes:

  • Account Management and Access to the Application – to allow users to access their accounts and manage invoices and business documents.
  • Application Analysis and Optimization – to improve the performance, functionality, and user experience of the Application.
  • Notifications and Alerts – to send personalized notifications, invoice alerts, and application updates.
  • Compliance with Legal Obligations – to comply with applicable legal and regulatory requirements, including requests from competent authorities.
  • Statistical Reporting and Data Analysis – to analyze existing information for statistical reporting and processing within the data analysis modules of the Application.

4.1. Firebase Cloud Messaging

The ArhivaDeFacturi mobile application uses Firebase Cloud Messaging (FCM) provided by Google to deliver push notifications.

Firebase Cloud Messaging may process technical identifiers, including device tokens, that are necessary to deliver notifications to your device.

Firebase is used exclusively for notification delivery and service reliability. It is not used by ArhivaDeFacturi for advertising or marketing purposes.

4.2. Push Notifications

The Application may send push notifications relating to:

  • newly received invoices;
  • document requests;
  • workflow events;
  • payment reminders;
  • application updates;
  • important account-related events.

Push notifications may be disabled at any time through your device's operating system settings.

5. Data Security and Storage

We are committed to protecting user data through appropriate technical and organizational security measures, including:

  • Data Encryption – All personal data and financial information are encrypted both during transmission and while stored, preventing unauthorized access.
  • Multiple Secure Storage Locations – To ensure data availability and resilience, information is stored across multiple secure physical locations protected by both physical and logical security measures.
  • Restricted Access – Access to personal information is limited to employees and authorized contractors who require such access to perform their duties and who are subject to strict confidentiality obligations.
  • International Data Transfers - Some of our service providers (e.g. Firebase, Push Notifications) may process limited technical information outside the European Economic Area (EEA). Where such transfers occur, appropriate safeguards are implemented in accordance with the General Data Protection Regulation (GDPR), including the use of Standard Contractual Clauses or other legally recognized transfer mechanisms where applicable.

6. Data Retention

Personal data are retained for a period of five (5) years, or for as long as necessary to provide the services offered by ArhivaDeFacturi and to comply with applicable legal obligations.

At the end of the applicable retention period, data may be permanently deleted upon the user's written request. If no such request is received, the data may be irreversibly anonymized and used exclusively for statistical analysis purposes.

7. Sharing of Information with Third Parties

ArhivaDeFacturi does not sell or disclose users' personal information to third parties except in the following situations:

Service Providers

We work only with trusted service providers that assist us in maintaining and supporting the Application. Such providers are contractually required to maintain the confidentiality and security of all personal information they process.

Legal Authorities

Personal information may be disclosed where required by applicable law or in response to lawful requests made by competent public authorities.

No Advertising or Cross-App Tracking

ArhivaDeFacturi does not sell personal information.

We do not use personal information for behavioural advertising, advertising profiling, or cross-app tracking.

The Application does not share personal information with advertising networks.

8. User Rights

In accordance with applicable data protection legislation, users have the following rights:

  • The right to access their personal data.
  • The right to rectify inaccurate or incomplete personal data.
  • The right to erasure ("right to be forgotten"), subject to applicable legal limitations.
  • The right to restrict the processing of personal data.
  • The right to data portability.
  • The right to object to the processing of personal data.

8.1. Account Deletion

Users may request deletion of their ArhivaDeFacturi account at any time by:

  • using the account deletion functionality within the Application (where available); or
  • contacting us at office@arhivadefacturi.ro.

Following verification of the request, personal account information will be deleted or anonymized where legally permitted.

Certain accounting records, financial documents, or other information may be retained where required by applicable accounting, tax, or other legal obligations.

If the requesting user belongs to an organization, deletion of personal data shall not automatically delete business documents belonging to that organization.

8.2. Children's Privacy

ArhivaDeFacturi is designed exclusively for business users and organizations.

The Application is not intended for children under the age of 16, and we do not knowingly collect personal information from children.

If we become aware that personal information has been collected from a child in violation of applicable law, we will take appropriate steps to delete such information.

9. Changes to this Privacy Policy

We reserve the right to modify this Privacy Policy to reflect changes in applicable legislation or changes to the Application and its services. Any material changes will be communicated to users by email or through notifications within the Application.
